Our Privacy Policy below explains how we collect, use, share and secure your personal data.

 

We are responsibile for collecting, holding and managing any personal data which you share with us.

 

We will keep your personal details safe and secure and will use the personal data you provide lawfully and as explained below.

 

2.   What information do we collect?

 

Enquiries - If you contact us with an enquiry about a potential booking we will not hold any details from you for any use other than for our response to you.  Nor is this information shared outside of our business partners.  

 

Making a booking - If you contact us to make a booking, or about a booking already made, we will collect and hold certain details in relation to that booking to help us to manage your arrival and stay.  This information includes lead guest name, contact details, address, dates of arival and departure, property booking, mode of transport, time of arrival, names of other guests, ages of guests if 16 years or younger, any special requirements and if any allergies.  By law we also need to collect Nationality, Passport number, place of issue and details of next destination for all guests who are not British, Commonwealth or Irish.  For emergency reasons we may also request contact details of other guests in your party.  A booking is placed on-line using our website www.yorkluxuryholidays.co.uk via our secure partner Holiday Bookings On-Line Ltd who also operate to detailed data management and protection guidelines so you can be assured that your data is safe.

 

Payments - We do not see any card payment number details as all payments are handled through a secure payment gateway third party, Monek and using Secured by Visa.  It is entirely their responsibility to manage your data according to legal requirements in-line with the Financial Authorities and GDPR.  We only receive name of card holder, address of card holder, amount paid and issuing bank name as confirmation of a booking deposit, full payment or balance being paid.  We do not take telephone payments so no card details are held.  We do not take cheques so no bank details are held.

 

Owners - If you own holiday accommodation which you choose to let through us, we will collect and hold your details e.g. your name, home address, contact details, bank account details, so that we can transfer your payments to your bank account, and we will hold information about the accommodation you wish to let.

 

Website Useage - We also collect information about our website use via Google Analytics.  This information does not identify individual people but gives a report on website useage covering for example mode of media used, time spent on each page, movement across the website and route to reach the website.  No individual personal data is collected, seen nor is any individual idenitifiable.  Cookies may be used but no profiling is carried out by us.

 

Security Camera Use/intercom systems - some of our holiday properties are within a building which uses intercom systems with a camera or have security cameras at the entrance to the building, or in the car-parking areas for example.  None of our properties have cameras inside the holiday accommodation itself.  These cameras are managed by the buidling management committee for the safety and security of the premises, of those living or staying in the properties, and of vehicles parked within the buidling zone.  Some images may be transferred to property TV or intercom screens so that the owners can allow access to the building.  Any film used is the responsibility of the building management company and their Privacy Policy under GDPR guidelines can be proivided on request.  York Luxury Holidays have no responsibility for such use.

 

3.   How do we use your information?

 

The information you provide may be used in a number of ways, for example:

  • to enable us to respond to a holiday enquiry
  • to enable us to confirm your booking and payments made (if you are booking a holiday through us)
  • to enable us to arrange final balance payments
  • to enable us to make final arrangements regarding your booking 
  • to advise your property owner or host of necessary information so that they can manage your arrival and your stay, and incase of an emergency situation
  • to personalise repeat visits for enquiries and bookings
  • to let you know about our new properties, offers, changes and other news if you have "opted in" when placing a booking to receive this information
  • to manage your visit queries
  • to enable us to provide information and services you have requested
  • to enable us to follow up your visit for feedback
  • to carry out statistical analysis for our own advertising purposes
  • for owners - to enable us to manage your holiday property where required, arrange bookings, advertise your property, transfer payments, provide services for support or management.

We will never pass your details to a third party outside of our booking and management processes.  Only those involved in your booking with ourselves at York Luxury Holidays LLP, the property owner, and the property host where different to the property owner, will be passed your details inorder to manage your stay.

We will never sell on your details or pass to anyone outside of our guest or owner management processes.

We will never send news letters to you unless you have 'opted in' at the booking stage to receive this information.

You can opt out of news letters again at any time.

 

4.   Legal Obligations

 

To the extent that we are required to do so by law, or regulation by a law enforcement or taxation agency, or for the purposes of preventing crime, we may use and disclose your personal data for compliance purposes. 

 

5.   Who will you share my data with?

 

To provide you with the products and services that we offer and/or in our legitimate interests, we may share your information with:

 

  • other members of York Luxury Holidays LLP to manage your booking or property
  • owners of the holiday accommodation you have booked through us at York Luxury Holidays so that they can manage your stay and for emergency situations
  • the accommodation host if different to the owner in order to manage your stay and for emergency situations
  • if you are an accommodation owner who manages their own property your contact email address will be provided to your guest along with their booking confirmation
  • if you are an accommodation owner who does not manage their own property your contact details will be shared with those providing services in the maintenance of your property and for guest management
  • if you are a host your contact information will be provided to the lead guest and to the property owner
  • if you are an accommodation owner your name and bank account details will be shared with York Luxury Holidays' bank account for the purposes of payment transfers
  • as a guest you will share your card payment details with the secure payment gateway company Monek via our booking system provider Holiday Bookings On-line ltd.

We may also use and disclose your personal data, without your permission, in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.

 

6.   How is my information managed, held and destroyed?

 

We only transfer your information to those involved in managing your booking be that to other members of York Luxury Holidays LLP, the property owner and the property host.  The host will destroy the information when a guest stay is finished.  The property owners and York Luxury Holidays LLP will hold your data securely, using password encrypted technology, for the length of time required by law for taxation purposes and under timescales specified for international travel.  All data will be destroyed within legal timescales and in a secure manner (as far as is possible).  We will always ensure that adequate levels of protection are in place to protect the integrity and security of any information we process, hold and destroy and in compliance with applicable privacy laws.  We aim to review our privacy policy and its communication annually.

 

7.   Your rights

 

You have the right to ask us at any time to:

  • confirm whether we hold any of your personal data, what and where
  • to send you a copy of what we hold about you
  • to correct any inaccuracies in your personal data and add any you feel is helpful
  • to delete (to the extent possible) any of your personal data, where we are required by law to do so
  • to stop processing your personal data, where we are required by law to do so
  • to stop processing any of your personal data that we process on the basis of our legitimate interest
  • to stop sending you marketing material, although we will still send you information regarding a booking you have placed with us.

Note - we will only send marketing materials from York Luxury Holidays LLP if you have 'opted in' at the booking stage to receive information, or have subsequently asked to 'opt in'.  Your host nor your accommodation owner will send you marketing information unless you have specifically asked them to do so, at which point they will be responsible for your personal data.
