Terms and Conditions

Booking & Payment Terms:

A booking can be made for two nights or more and arriving any available day.  This can be made by telephone or by using the secure on-line booking page on our “York Luxury Holidays” website (www.yorkluxuryholidays.co.uk).  A 40% deposit will be required to confirm a booking with the balance due one month before arrival.  If booking within a month of arrival date the full amount will be requested on booking.  “York Luxury Holidays” accept all credit and debit cards and have no hidden charges.  Late payment may result in cancellation of the dates booked and the Cancellation Policy below will then apply as if guests had requested the cancellation. 

Cancellation Policy:

In the event of guests needing to cancel a booked stay, the relevant accommodation owners and York Luxury Holidays will make every effort to re-book the cancelled dates. A refund will be made of the cost paid for the accommodation less the published price of any days left vacant i.e. not re-booked.  The liability for any loss to guests against the cost of the booked holiday accommodation will need to be met by guests’ own Holiday Insurance, which guests are advised to set up. In the unlikely event of the accommodation owners needing to cancel a stay, guests shall be refunded the full cost paid for accommodation.  An administration fee of £25 will be charged by York Luxury Holidays for any cancellation, or alteration, of dates or accommodation made by guests.

Insurance: 

Accommodation - Guests are asked to respect their accommodation and to leave it in good order. Charges may apply for any breakages, damage or for any additional cleaning required above what is reasonably expected.  Please arrange insurance in case of needing to cancel a stay and ensure your home insurance will cover you for any damage caused at the holiday property (see above).  Please note that any request for recompense should their be damage during your stay must be honoured within two weeks of departure.

Car-Parking: 

Signature Apartment No. 5 has its own parking space in the private car park opposite the building entrance, a permit will be provided on arrival at the apartment.  St Mary’s Townhouse, The Lendal Tower and The Wing all have on site parking for two cars.  Between the Bridges and The Holgate Suite have on site parking for one vehicle.

Guests staying at The King’s Apartment and The Abbot’s Chambers will be provided with free parking for the length of the stay at nearby Monk Bar car park.  Guests can collect parking permits upon arrival and all permits must be returned upon departure.  Loss of a parking permit will result in charges for its replacement at full replacement cost + each 24 hours parking fee until a new permit is issued.  If the permit is not returned immediately on departure guests will be required to pay the full 24 hour parking rate for each day until the permit is received back. 

The owners accept no liability for loss or damage to a guest's vehicle or its contents whilst parked. By using the permit guests are accepting these conditions outlined.  The relevant permit MUST be displayed clearly on the car dashboard whilst parked. Cars cannot enter the area near The King’s Apartment between 10.30am and 5pm (unless a disabled badge is held).  Outside of these times cars can park for up to five minutes to unload and must display an unloading notice (sent with booking confirmation) and leave hazards on.  If guest choose to ignore these rules neither York Luxury Holidays nor the owners can accept responsibility if a parking fine is received.

Telephone/internet usage: 

Costs for telephone usage may be charged up to 2.4p per minute to UK landline.  Costs for international calls vary. Please refer to information file in apartment.  Calls to mobile phones are charged at their specified rates.  Emergency services and calling the owners are free.  Any costs may be charged following departure.  UK land line calls are free on weekends and after 7pm (maximum call 1 hour duration) but please check this with the owner.  There is free wi-fi provided in all accommodations.

Other Policies: 

Please note that the properties are completely and strictly No Smoking and pets are not permitted.  If guests smoke in the properties a £100 fine will be charged and, if business is subsequently lost, the property owners reserve the right to recover losses directly from the offender. 

Please also note that the properties are in quiet residential areas so consideration in keeping noise and disruption to a minimum is appreciated.  The owners reserve the right to evict guests who arrive intoxicated beyond what is reasonable, cause noise, damage or disruption, and to cancel a booking where unreasonable or unacceptable changes are made prior to arrival, including late arrival.  In such circumstances no refund will be given.  Only those named on the booking information form may stay in the properties.  A maximum of four guests are permitted in Signature Apartment No.5, four guests plus one baby in The King’s Apartment and The Holgate Suite.  The Abbot’s Chambers can accommodate a maximum of 3 adult guests or 4 guests if including children, 3-4 adult guests at Between the Bridges, six adults plus one baby in The Lendal Tower and St Mary’s Townhouse, and a maximum of eight guests plus one baby in The Wing.  Signature Apartment No.5 is not suitable for children under the age of 18 years old and The King’s Apartment is not suitable for children between the age of 2 - 4 years old.  Please also note that The Abbot’s Chambers is only suitable for 3 adults maximum although four guests can be accommodated if including children, plus a baby.  Between the Bridges is only suitable for adults aged 21 years old or more.  In consideration of neighbours Hen and Stag parties, or other single-sex non family groups of more than two guests, are not permitted in any property.  If this is ignored the owners have the right to cancel a booking, refuse access or evict with no refund given.

Access: 

The properties are normally ready for 3pm at the latest, earlier if no-one is leaving that day; guests are welcome to drop off luggage earlier by arrangement.  As the owners do not live on site guests may be asked to give an approximate arrival time so that access to the property can be arranged, together with collection of keys and parking permits. Consideration in contacting the owners asap should a journey be delayed would also be very much appreciated. The owners reserve the right to cancel through unreasonable late arrival which is not communicated and agreed as soon as possible, and in such cases no refund will be given. 

Departure: 

Departure is normally for 10.00am unless otherwise advised.  Luggage may be secured until later by arrangement.

Inclusions: 

There are no hidden extras.  The cost of the holiday accommodation also includes use of car-parking, all utilities (excessive phone or wi-fi use may be charged separately), all bedding and linen, towels, robes, toiletries & all bathroom/kitchen cleaning requirements, hot drinks provisions, milk, sugar, fresh flowers, and welcome treats.  A cot and high chair may be provided at some properties but guests may need to provide own cot bedding.  DVDs, CDs and games may also be provided for use.  Extras of welcome basket of Yorkshire Fare with wine, or champagne & chocolates for that special occasion, may be provided at an extra cost.

Liabilities: 

York Luxury Holidays are responsible for the entire booking and payment process where a booking is made directly via York Luxury Holidays.  York Luxury Holidays are also responsible for the entire pre-arrival communication process for guests staying at The Abbot’s Chambers, The King’s Apartment and The Holgate Suite.  The owners of the other accommodations are responsible for the communication process with guests including the provision of information about access, directions, parking etc. 

The owners of the accommodations are entirely responsible for the provision of the accommodation including its advertising photos, contents, access, standards, cleanliness etc.  Guests should contact the relevant accommodation owners directly for advice, information and on any other matter relating to the accommodation whether it be pre, during or post stay for Signature Apartment No.5, The Wing, 10 St Mary’s Townhouse, Lendal Tower and Between the Bridges.  For the other properties York Luxury Holidays will be the main contact pre arrival; for arrival day and during the stay a host contact number will be provided.  The owners and hosts contact details will be provided with the booking confirmation. Neither York Luxury Holidays, nor the apartment owners or hosts, can be held responsible for any disturbances from nearby buildings, works or general city noise nor for other disturbances.

York Luxury Holidays and the apartment owners reserve the right to change the property contents, terms and conditions and prices at any time without notice but note that any price changes will not affect any booking already made.

By placing a booking with York Luxury Holidays, the lead guest and all others in the party agree to all of the above terms and conditions.
